Sign Up For HubDoc

Within Xero, click the business name at the top left of the screen, click “Hubdoc” & then “Sign In With Xero”


Upload Bill To HubDoc:

Email – click “Upload Document” at the top of the screen and the email address to send bills to can be found at the bottom of this screen. You can then forward bills emailed to you directly into HubDoc.

OR

File – click “Upload Document”, then drag in a file or click browse and select the file you’d like to upload

OR

Physical Receipt – download the HubDoc App on a phone or preferably a tablet, there should be an option to take a picture of the receipt & upload it to HubDoc

Upload Bill To Xero (PART 1):

Transaction Details

This information should be pulled from the uploaded bill automatically but you need to double check this as it isn’t 100% accurate, especially the VAT “Tax” amount:

  • Supplier

  • Date

  • Total Amount

  • Tax Rate

  • Tax

Make sure that the ‘Tax’ Amount matches to the bill image

Its really important that the tax rate amount (£250 in the example above) matches to the bill image.

If it doesn’t, change the tax rate to “Extracted Amount” and enter the tax amount on the bill image.


Upload Bill To Xero (PART 2):

Destinations

Click the downward arrow to the right hand side of the Xero logo to reveal the following options:

  • Publish As: Purchase

  • Status: Awaiting Payment

  • Contact: Enter Xero Contact

  • Account Code: Enter Xero Account Code

Click “Publish“ and this will post the bill into Xero. Once you’ve posted the bill into Xero you’ll be able to match the bill to the bank, credit card or director account.

Troubleshooting

If you have entered the bills through HubDoc but they’re not showing on Xero you may have added the bill status as ‘drafts’ instead of ‘awaiting payment’.

To rectify this, go into Xero, click Business/Bills to pay/Draft - select all the draft bills and click ‘Approve"‘.
